Staff Attendance and Leave on WhatsApp: Punch In, Apply, Approve — Straight into Payroll

WhatsApp attendance for hospitals lets every staff member — including the ward boys, security guards, cleaners and nurses who never get an HMS login — punch in and out from their own WhatsApp, verified by location or a selfie, with lateness, half-days and shift rules applied automatically and the result flowing straight into the payroll register. Leave works the same way: the employee applies in the chat, the manager approves or rejects with one tap, and the attendance is marked.

This guide explains how it works, how verification and shift rules are set, what the manager sees, and why it removes the biometric machine, the muster register and the end-of-month argument.

Who it is for

Most hospital attendance systems assume a user account. Most people who punch a clock in a hospital do not have one. Healthixio matches the person punching against the payroll staff record by mobile number, not against the software user list, so the night guard and the OT cleaner are on exactly the same footing as the billing clerk. A staff member who is also an HMS user simply sees My Attendance added to their normal agent menu.

Punching in and out

Verification modes

The hospital chooses, once, under Payroll settings, how a punch is verified:

  • Location: the phone's location must fall within a radius of the hospital that you set. A failed punch tells the employee how far away they were.
  • Photo: the employee sends a selfie, which is stored against the punch.
  • Location or photo (the default): location first, with the selfie as a fallback when GPS is poor indoors.
  • None: for hospitals that trust the number alone.

What the employee sees

After a successful punch the reply states the time recorded, minutes late if any, and — at punch-out — hours worked and the status recorded for the day: Present, Late, Half Day, Leave, Absent, Week Off or Double Duty. Everything is in English and Hindi. There is no arguing at month end about what the machine recorded, because the employee was told at the time.

Forgot to punch out?

Every 30 minutes the system sweeps for open punches and closes them at the employee's shift end, not at the sweep time, and marks anyone who never punched in as absent. A day a manager has already marked by hand is never overwritten. Whether the sweep runs, and when the day closes, are per-hospital settings.

Optional shift reminder

A hospital can switch on a punch-in reminder that reaches staff shortly before their shift starts. It is off by default, because it is the only attendance message the hospital initiates and Meta bills for each one; the settings screen says so.

Leave requests and approvals

The employee taps Apply Leave and answers four prompts — type, from, to, reason — and confirms. The manager receives the request with Approve and Reject buttons; if the manager already has a conversation open with the hospital number, the request arrives free, otherwise as a utility template. A tap records the decision, marks the leave on the attendance register, and tells the employee. Only the manager named on the request, or an administrator at that hospital, can decide it. Managers can also list pending requests from the agent menu at any time.

One rule engine, no disagreements

Which shift applies, what counts as late, when a day becomes a half-day, how a double duty is credited — all of it lives in one place in the payroll module, and both the WhatsApp agent and the web attendance screens call it. The salary sheet can never disagree with the chat that produced it. The attendance panel shows a WhatsApp chip against every punch that came from the chat, so a manager can see at a glance which entries were self-punched and which were marked by hand.

Cost

A punch is a message the employee sends, so the reply is a free service message under Meta's rules. Leave alerts and decisions are sent free inside an open window and only fall back to a utility template, at about ₹0.115, when the manager has not messaged recently. The optional shift reminder is the only routinely billed message, which is why it is off by default. See WhatsApp cost for hospitals.

Privacy

Location is checked at the moment of the punch and the distance is recorded, not tracked continuously. Selfies are stored against the punch under the hospital's control. Staff data is handled under the same DPDP obligations as patient data; see the DPDP timeline for hospitals.

Frequently Asked Questions

Can hospital staff mark attendance on WhatsApp without an app?

Yes. Staff message the hospital's WhatsApp number from the mobile on their payroll record, tap Punch In, and are verified by location or selfie. No app, no login and no biometric machine are needed.

How does WhatsApp attendance prevent proxy punching?

The punch must come from the employee's registered mobile number, and is verified by GPS location within the hospital's geofence or by a selfie stored against the punch. Managers see which punches came from WhatsApp and can review the photo.

Does WhatsApp attendance connect to payroll?

Yes. Punches, lateness, half-days and approved leave land directly in Healthixio's payroll module, computed by the same rules the web screens use, so the salary sheet needs no reconciliation.

What does WhatsApp attendance cost?

Punches are free because the employee starts the conversation. Leave alerts cost a few paise only when the manager's window is closed. The optional shift-start reminder is billed per message and is off by default.

Retire the muster register

WhatsApp attendance and leave are part of Healthixio's payroll module, included in every full plan. Book a demo and punch in from your own phone.
