WhatsApp AI Agent for Hospitals: How Staff Run the HMS from a Chat Window

A WhatsApp AI agent for hospitals is a conversational assistant, linked to the hospital management system, that lets authorised staff complete real HMS tasks — register a patient and book an OPD appointment, dictate a discharge summary, record vitals, write a bedside chart entry, punch attendance, approve leave, fetch the daily report — by typing or sending a voice note on WhatsApp. Healthixio's agent books an appointment and returns the queue token in about two seconds, works in English and Hindi, and saves every clinical document as a draft for a human to sign.

This guide explains how a staff member gets access, what each menu item does, what the AI actually does behind the scenes, and the controls that keep a chat message from ever doing something a person should have decided.

How a staff member gets access

Nothing is installed. An administrator ticks "WhatsApp assistant" on the employee's record in the HMS; administrators are recognised by their role. The staff member scans the QR on their dashboard or simply messages the hospital's WhatsApp number from that mobile. The agent recognises the number, checks the role, and shows the menu that role is allowed. Anyone else — a stranger, a former employee whose access was removed — gets no reply at all. Someone on the payroll of two hospitals is asked which one they mean.

The menu

1. Book Appointment — about two seconds

The receptionist sends the patient's details on separate lines: mobile, name, and optionally age and address. A name alone is enough for a walk-in. The agent registers or matches the patient — if the number belongs to more than one person it offers the closest names to pick from — books the next slot on today's register for the chosen doctor, and replies with the queue token, doctor, time and payment status. The doctor can be asked every time or remembered as a default. The next patient is just the next message; no menus again. It is the same booking function the web OPD screen uses, so the token appears on the waiting-room display and the doctor's dashboard immediately.

2. Discharge Summary — by voice

Pick the admitted patient, pick the discharge type from ten, then either dictate the whole summary as one voice note or answer field by field. The AI splits the dictation into the summary's 17 fields and saves a draft on the patient's file. The patient stays admitted and the IPD ledger stays open; the doctor reviews and finalises on the Discharge page. How the voice-note discharge summary works goes deeper.

3. Record Vitals — one line

"BP 130/80 pulse 88 temp 99 spo2 97", typed or spoken, in English or with Hindi labels. The agent shows what it understood, asks for a confirm, and saves through the same function the IPD vitals screen uses. It then returns to the patient picker, because a nurse on a round is doing this twenty times.

4. Patient File — bedside charts by voice

Dictate an entry onto any of ten IPD charts — case history, doctor's notes, nursing notes, IV fluid, feeding, nebulisation, oxygen, ICU and NICU monitoring, NICU continuation, procedures. The AI fills the chart's own fields, the same validator as the web form checks them, and a spoken time is honoured. Only the charts the person is permitted to write on are offered. See bedside charting from WhatsApp.

5. My Round List — doctors

Every admitted patient under the doctor's care with their latest vitals and the time they were taken.

6. My Attendance

Punch in and out with location or selfie verification, apply for leave, see the month's summary. Payroll-only workers without an HMS login get this menu on its own. Details in staff attendance and leave on WhatsApp.

7. Leave Requests — managers

Pending applications, each with Approve and Reject buttons. A tap records the decision, marks the attendance, and tells the employee.

8 and 9. Technical and Sales Support

One message or voice note becomes a support ticket and reaches the Healthixio team; the staff member gets a ticket number.

10. Daily Report — admins

Today's collections and expenses report as a PDF, on demand, from the same renderer that sends it automatically at 11:57 PM.

What the AI actually does

It is worth being precise, because "AI agent" is sold loosely. In Healthixio's agent a large language model does exactly three jobs, each constrained to a fixed output schema: transcribe a voice note into one form field; split one dictated discharge summary into 17 fields; extract one dictated chart entry into that chart's fields. Voice notes are processed as audio directly, so Hindi-English code-switching is handled and medical terms are written back in English. The prompts forbid inventing values — anything not said comes back empty for a human to fill.

The conversation itself is a deterministic workflow. The model never decides what happens next, never chooses to discharge a patient, and never composes a database query. It fills in the form the workflow asked for, and the workflow calls the same permission-checked function the web screen would.

The guardrails

  • Drafts only. Discharge summaries are saved as drafts; the IPD bill cannot be closed from a chat.
  • Same permissions as the web. A nurse sees nursing charts; a receptionist cannot open clinical notes; every write is validated by the same rules as the form.
  • One hospital per conversation. Every read and write is scoped to the staff member's hospital by construction, not by a string check.
  • Live re-checks. A button tapped an hour later is re-validated against current data — the doctor is still active, the patient still admitted, the permission still granted.
  • Throttle. Thirty messages in ten minutes or six unusable replies in a row earns a silent hour-long mute, which also keeps a misbehaving number from generating a Meta bill.
  • Attribution. Every action is logged against the staff member who asked for it, exactly as if they had used the screen.

Why it matters for a mid-size hospital

The same three receptionists run registration, the queue, the phones and WhatsApp. The same two doctors write every discharge summary after evening OPD. The ward staff who punch a clock have no HMS login. An agent that books from a pasted line, drafts a summary from a 90-second voice note, and takes attendance from a selfie removes the most repetitive hour of each of those people's day, on a device they already carry, with no software to learn. It is the first AI most Indian hospitals will actually use, because it needs nothing from them.

Frequently Asked Questions

What is a WhatsApp AI agent for hospitals?

A conversational assistant on the hospital's WhatsApp number that is connected to the hospital management system, so authorised staff can perform real tasks — booking, discharge drafting, vitals, charts, attendance, leave — by chatting or sending voice notes, with the HMS as the record.

Can the WhatsApp agent discharge a patient or close a bill?

No. It saves the discharge summary as a draft and leaves the patient admitted and the IPD bill open. Finalising the discharge, closing the bill and applying discounts need a person with that permission on the web screen.

Does the agent work in Hindi?

Yes. Voice notes may mix Hindi and English, vitals can be given with Hindi labels, and patient-facing and attendance messages are written in English and Hindi side by side. Staff-only flows such as discharge dictation write medical terms back in English.

Is the WhatsApp AI agent included in the price?

Yes. It is available on every Healthixio plan and works on any phone with WhatsApp. Conversations staff start are free under Meta's rules; see what WhatsApp actually costs a hospital.
